Your agency dashboard
The system your office lives in all day. Shift scheduling and assignment, nurse and client records, licence and certification tracking, approvals, timesheet capture and payroll export, and your reporting. This is the build. Everything else hangs off it.
A phone app for your nurses
Shifts, accept work, set availability, upload documents and submit time, in their hand. iOS and Android. Every nurse gets a login and none of them costs you anything, which is the part per-seat platforms charge for.
A facility portal, if you want one
Facilities sign in to see live status on their own vacancies and approve time, instead of phoning your office. Most agencies do not need this on day one, so it is not in the core build.

A system for 50 people is the same build as one for 500. What changes the price is how many modules, how many integrations and how much compliance logic.

Every login they charge for, you get free
On most platforms anyone with a login is billable, office staff and field workers alike. ShiftCare says so plainly in its own FAQ: anyone with a login, admins and care workers both count. So the bill grows every time you place someone. Ours does not. Put your real numbers in. If it does not pay off at your size, it will say so.
Figures are the vendors’ own published list prices per user per month, excluding tax, from bullhorn.com, shiftcare.com and Crelate’s published tiers. ShiftCare publishes a US price list in US dollars and those figures are used as published; Bullhorn and Crelate likewise. Your own contract may differ, so change the number to what you actually pay. Staffinc figures use Foundation at list, plus the monthly support, and exclude your cloud hosting, which you pay your provider directly in both models.

Do we have to pay it all upfront?
No. The build is split across three milestones: 30% to start, 40% at the mid-build review once you have seen working software, and 30% on go-live. Agencies run weekly payroll against 45 to 75 day receivables, so the schedule is designed to sit alongside that rather than compete with it. The Blueprint fee is credited against the first milestone.
Why is there a range rather than one number?
The range reflects scope. A Foundation build with two integrations costs more than one with none. Where you land inside the range is decided during the Blueprint week and written into the contract before any code exists. It is not a starting point for negotiation, and it does not move once signed.
What is the monthly support for, and is it optional?
Bug fixes resolved within 24 hours, minor enhancements, compliance updates when regulations change, proactive security patches, and running the cloud account your platform sits on, from the team that built your platform rather than a general helpdesk. Thirty days of hypercare is included in every build. The retainer after that is optional and you can stop it at any point. Our longest-running client has been on one for three years.
What if we want more built later?
It is quoted separately before it is built and you decide whether to proceed. What does not happen is the original price moving because the work turned out harder than we estimated. That risk sits with us, which is the point of a fixed price.
Is the AI an extra licence?
No. Matching, compliance chasing, reconciliation and document parsing are inside the fixed scope at every tier. There is no AI add-on, no per-query charge and no separate subscription.
Is hosting included in the price?
No, and that is deliberate. Your platform is deployed to a cloud account in your own name, so your operational data stays under your control and never sits on our infrastructure. We set the account up, configure it and manage it under the monthly retainer, so there is nothing technical for you to do. You pay the cloud provider directly at cost with no margin from us, typically in the low hundreds per month at Foundation scale, and more if you need EU or Canadian data residency or multi-region redundancy. This is also why the handover is clean: the infrastructure is already yours, so there is nothing to migrate off.
What happens to the money if we cancel?
You keep everything delivered up to the last completed milestone, including the code for it. The Blueprint deliverable is yours whether or not you build. We would rather lose a project cleanly than hold work hostage.
